You deserve transparency into how we use your data

This Privacy Policy explains how Halvek Technologies Co. Ltd. collects, uses, shares and protects personal information across our websites, software and services—including eSchool Manager, eBusiness Manager and eRental Manager.

Effective 1 October 2026 Last updated 1 October 2026

We handle personal information in accordance with applicable data protection laws, including Uganda’s Data Protection and Privacy Act, 2019 and the Data Protection and Privacy Regulations, 2021, where applicable. We do not sell personal information for money. We may share information with service providers and other recipients as explained in this policy.

Halvek Technologies Co. Ltd. is a technology company based in Uganda.

Depending on the service, we may act as a data controller (when we decide why and how information is processed—for example website enquiries or our own customer accounts) or as a data processor (when we process information on behalf of a school, business or other customer through software, hosting or related services).

When we act as a processor, the customer usually decides the purposes of processing and is responsible for appropriate notices or permissions. Our responsibilities depend on the law, the service and the customer agreement.

Information you provide

Contact details; business and organisation information; account details; service, support and contract information; billing and transaction records; recruitment materials; and communication preferences.

Collected automatically

IP address, browser and device information, pages visited, access times, referring pages, technical logs, security events, and cookie-related data where used—for operation, security, troubleshooting and improvement.

From other sources

Customers, authorised representatives, partners, payment providers, referees and other legitimate sources may provide relevant contact or operational details.

Through customer systems

Products such as eSchool Manager may hold information about a customer’s users, employees, parents, learners or clients. The customer decides what is collected and why. Halvek processes that information to provide, maintain, secure and support the service under the applicable agreement. Customers must ensure they have a lawful basis to provide that information to Halvek.

  • Provide software, hosting, development, support and related services
  • Create and manage accounts and customer records
  • Process quotations, invoices, payments and renewals
  • Respond to enquiries and send operational updates
  • Protect systems and investigate security issues
  • Improve performance, usability and features
  • Manage recruitment
  • Send marketing where permitted by law
  • Meet legal obligations and protect legal rights

We may process personal information based on consent; performance of a contract (or pre-contract steps); legal obligation; vital interests where applicable; or another basis recognised by law.

Where we rely on consent, you may withdraw it at any time. Withdrawal does not affect prior lawful processing. If information is required for a service or legal duty, not providing it may limit what we can deliver.

We may use essential, preference, analytics and (where applicable) marketing technologies. Where required, we seek consent before non-essential cookies.

You can manage cookies via browser settings or any preference tool on our site. Turning off some cookies may affect functionality.

Third parties may also have their own privacy policies.

Some providers or infrastructure may be outside Uganda. Transfers will comply with Ugandan data protection requirements on adequacy, safeguards and any required consent or other conditions. Customers may request relevant provider information for their service, subject to security and contractual limits.

Education platforms may process children’s information (for example name, school or admission records) supplied by a school, parent or authorised person.

Where we process that data on behalf of a customer, the customer determines purposes and lawfulness; we process under authorised instructions. We will not knowingly use children’s data from customer systems for unrelated advertising. Contact us if you believe a child’s information was submitted inappropriately.

We use safeguards appropriate to the risk, which may include access controls, authentication, encryption where supported, monitoring and logging, updates, backups, confidentiality obligations and incident procedures.

No system is perfectly secure. Protect your passwords and tell us promptly if you suspect unauthorised access.

If we become aware of a suspected or confirmed incident involving personal information, we will investigate, contain and address it. Where required by law, we will notify authorities and affected individuals. For customer-held data, reporting follows applicable law and the customer agreement. Please report suspected incidents affecting our services quickly.

We keep information only as long as needed for the purpose collected, plus legal and contractual needs. Examples:

  • Account data — while active, then an appropriate wind-down period
  • Financial records — tax and accounting periods
  • Support records — enquiry and dispute resolution
  • Recruitment — recruitment administration
  • Security logs — monitoring and investigation
  • Customer system data — per agreement and customer instructions

When no longer required, we delete, anonymise or dispose of data securely. Backups may retain data until the cycle ends.

Subject to law, you may request access, correction, deletion, objection, restriction, withdrawal of consent, portability (where applicable), or lodge a complaint.

Rights are not absolute in every case. Where we process data for a school or business customer, we may refer your request to that organisation or assist them in responding.

Email privacy@halvektech.com with subject line Privacy Request, and include your name, contact details, the service or organisation involved, and what you are asking for.

We may verify your identity before acting. Do not send passwords or full card numbers. We will respond as required by law.

Service messages (accounts, invoices, security, support) may continue even if you opt out of marketing. Marketing is sent only where permitted; use unsubscribe links or contact us to stop promotional messages.
